Hey bosses, welcome back. It is February 2022 and I thought today I would give you guys a little sneak peek into the monthly masterminds that happen in the Real Boss Women community. We talked systems and for once I wasn't talking about database systems. I was talking about those apps and tools that I personally use to make my business run smoothly and effectively. So here you go. Here's your sneak peek.
Okay, let's start out with some systems and tips. You guys, I know I normally beat databases into your heads and some of you probably are like, oh my God, please don't tell me she's going to talk systems again with databases. And good news, I'm not. I'm going to tell you the other things that I use to me, just make my life a lot easier as a real estate agent and some things I found along the way. Let's jump in and get started. I know you're all with various brokers and
and you all have your email addresses through those brokers, how many of you have your own websites and you need to be able to use your email from your website address? Use my email through my website. Yeah. Lori says yes. Rozzy's like, I'm not sure if I do or not. All right. So let me show you something. I'm going to screen share. If you haven't gotten into the back end of a Gmail account in a while,
I highly encourage you to take a few minutes and get in there because you can actually go to google.com. You can get a Gmail account and then you can go in and I'll show you where you literally just from y'all watching my screen, like move around. Yeah. Okay. So you literally from your email, you hit these three little buttons on this or this groupage of buttons on the side and it brings up all kinds of things.
And you go to admin because you are the administrator of your area, right? And so once you do, you can actually get into the admin area. And here's where it gets really cool. You can claim your domain. Now, if you bought your domain, like I bought BoltGroupRealty.com, I've also purchased Real Boss Women.
You can actually, and I do that through GoDaddy, by the way, because it's super easy and super cheap. You can come into your Google admin account, claim those domains. And from there, it generally takes about 24 hours to update, by the way, with Google. But there, what you can actually do all within Google is you can go to users and you can add users or manage users. So I'm just going to give you a little peek behind the scenes of what kind of goes on on the real...
Real Boss Women and on the Bolt Group, which is my production team, we can add team members and assign them when you add them their own email address that is custom to your organization. So for instance, I have one that says Joanne at Real Boss Women dot com. And I have one that says Joanne at Bolt Group Realty dot com.
We have admin at bulkrealty.com. We have katierealbosswomen.com. She reads both of those and I read both of those. But the key thing to understand there is now I don't have to go through a website or a third party system. I can literally use Google and Gmail to send out all of my emails.
It looks as though I'm sending them from Real Boss Women's website or from Bulk Group Realty's website. From back here, I can own multiple website domains. I can assign email addresses from multiple website domains. And it just makes you look a lot more professional. Now, why do I think that this is a big deal? There is one truth that is not going to change anytime soon in the real estate world.
Agents move. Okay. So if you have been at Keller Williams for 10 years, and you've been using your Keller Williams email address, and then all of a sudden you look up like we did and decide it's time to shift to eXp. Because all my clients are used to using Joanne at bulkrealty.com, my client database, I didn't have to worry about losing any email addresses. I
I did not have to worry that a client of mine would email me or any member of my team and not be able to get through to them because what we did and what you can do from almost any broker out there, from the broker level, whatever email address you get from them, you forward it to your Gmail account. And that way, the longer you're in the business, the more smoothly and seamlessly it appears to your clients should you decide to make a shift in your business.
Because I've seen agents not make shifts just because they're afraid their clients won't be able to reach them. And if you're using a team name or a generic real estate type name that you own the domain for, then you own your database in a whole new level.
Right now in the state of Georgia, they are implementing some laws that says I really cannot have the word realty in my website address or my email anymore. Right. And I've had BoltGroupRealty.com for like 15 years. No big deal. If I want to open up a new website, if I want to rebrand my team name to Bolt Group or something
thrive with me in real estate or let's buy a home. It doesn't matter as long as, you know, if I have to shift because the rules and regulations shift, I don't have to actually get rid of this email address. I own it. I'm making a shift because the Georgia real estate commission made a shift.
So all I have to do is buy a new domain that meets the requirements, establish an email address under that domain. And I can go in here and forward anything that comes to Joanne at bulkcourtrealty.com to the new email address. So again, I've controlled a situation where because I'm an independent contractor in real estate, I can't always, I don't always, you know, make the rules about
what we can and can't name things or what it has to look like, but I can shift and pivot at any point. And I'm not afraid I'm going to lose a client that I had 15 years ago that still has that old email address because I had to make a shift because all I have to do is forwarded it to the new one. I even found Joanne that once you have your domain in here, you can actually do alias emails. Yep. You can have no additional charge. Yep. Um,
which I've done for my team. So it's a little deeper there, but you can do alias emails. Yep, you can do aliases. You can just start new ones. You can do all kinds of things from here.
I especially like this, even if you're a solo agent, if you want to create an info or a hello at with whatever you're calling yourself, because that way you can, you know, you can put on your website, got a generic question, email us at hello at rosietaylor.com. And that kind of differentiates in your email inbox, whether it's a generic person or someone you really have a relationship with.
And I like to kind of get granular on that kind of thing. All right. So since we're in Gmail, I am going to pop us over who in this room and I am going to open my chat up so I can see it. So you can type in who here has discovered the beauty of a Gmail template.
Love them. Love them, right? So I won't teach you how to make a template because you appear to already all have the templates in place. But I do want to point out a couple of great and useful things for templates because you may not have already realized this. In real estate or really any industry related to sales, there are always some generic things that have to happen. You take a listing and
There is probably a generic email that you're sending your sellers every single time. I know I've got one about like things to do now that you're on the market. Don't go to Costco, clean the, you know, take a magic or I'm really big on magic erasers and scrubbing your, you know, door frames and light switches because those tend to get smudges on them. Just some generic tips to keep in your house in show ready condition. That is a template for me.
So every time we get a new seller, I don't have to reinvent the wheel. I don't have to go find it where I sent it before, copy and paste it into a new one. I literally from Gmail can just open up a new email, hit templates, select seller on market template.
update it to have the correct seller's name in it, because obviously I don't want to send it to Bob if I'm putting Marsha on the market. And boom, now I've got a new email ready to go. And it happens like that.
It will save you hours in your day if you'll create some templates. I love templates and I see that Laura doesn't know how to do that. And I'm happy to help out if, you know, give five minutes, Laura, I'll help you get set up with it. It's super easy. Awesome. Thank you, Lori, for being so willing to help. Absolutely. That's the point of this.
All right. So going down my list, let's talk about my next tip here. Who all knew about the call this morning because you got a text message on your phone that said something to the effect of, it's the first Wednesday of the month. Yay. This means we have a relationship call at 11 a.m. Joanne is going to give some tips on apps and systems you need in your business and why. I use an app called Community. It is roughly...
$49 a month, which in my world, I'm willing to spend $49 a month. You get a generic email address. It is an app on your phone, or as you can see here, it's also a desktop app that you can get into and control from your desktop. So it's super versatile and super useful. Here is why I really do recommend that every real estate agent get one. You can build your database list
on your cell phone. And we all know in the day and age that we're in right now, yes, email lists are great. People love or hate drip campaigns. And by that, I mean, we love to send them, but people hate to get them. So really the true matter of the fact is we've kind of moved in a society to text messaging is a way more efficient way to do this. Now, what
What I like about community is you cannot just upload a list to it. You know how you sometimes get those text messages from people and you have to hit the word stop because you're like, I never asked for this text message. You do have to work at this and you have to work at building it because people have to opt in to your text messaging. But if you'll take the time, what you've really just done is really get people who have raised their hand and opted in and said, yes, I'd like your messages.
And what I love about this is you get a phone number. You can select what area code you want it to be from. And then you set up automatic messages that go back and communities. Communities are, if you've ever seen me say something like, if you want to get weekly tips, text the word tips to 678-736-8055. That is my community number.
So if someone texts that number for the first time, they get added in as a member. And if they text the word tips, they automatically get added to the community tips. Now, if they're in that database, I can go in and add them to other communities I've set up. Like I've got a community for Real Boss Women members. I have a community for people who have said, tell me about events. And so I can add them to other communities after they've opted in the first time. But it's great because
Because then when I want to send a message to specific segments of that database, I can. Like this morning, only people who are in my Real Boss Women got that message about this meeting this morning. Everyone else didn't because they're not a Real Boss Woman yet. But if I want to let everyone know that there's a new podcast that's dropped, I might send it to everyone in my community because at some point, those people have raised their hand about something. If you are a relationship building agent,
This, I think, is critical for your business. Because if you want to invite your sphere to things like a coffee, you can put out on your advertising, text the word coffee if you want to meet up for a cup of coffee. You can build a community around your sphere and database and the people you meet every single day that would be willing to come and meet you for a cup of coffee, maybe on the first Thursday of the month.
Or if you're going to do happy hours for your clients, when you're working with them, you can say, hey, listen, go ahead and text happy hour to this phone number. That way I know when I have my next client appreciation happy hour, you'll get the message on a text message and not some stupid email that you might miss in your inbox. I literally say it that way to my client. I laugh at the inbox stuff, right? So there are so many different ways to utilize a community number.
Does it take a little bit of effort and time and thought as you're creating your communities? Heck yes, it does. But it's no different than tagging within your database and sending emails out. And what I love about a community is I'm not jamming up someone's email address with a bunch of stuff that maybe they don't want to see because that's the first way that you're going to get them to unsubscribe to the stuff that you send them that you think is valuable. And you can also pre-schedule things
text messages. We're all super busy agents. So if you know you need a message about a new listing going out at 11 a.m. on Thursday, and you know you're going to be in a closing, create the message, schedule it to go out at 11 a.m. on Thursday, set it, walk away from it. Really, really, really useful, this tool, and not very expensive.
