Today's question comes to us from Stephanie. And Stephanie said, hey, girl, what is the first job you handed over to your administrative assistant? And I will say I texted her back just to clarify the question. Are you talking about your transaction coordinator or your true admin? And she said, I want to know what's the first thing you recommend giving up or handing over to your admin? And here it is, ladies.
Your inbox. Now we all know as real estate agents, we're going to get 8,001 emails every single day. I mean, let's be clear from realtor.com to zillow.com to your personal website, to everything you send out your clients, your advertising is going to have your email on almost everything. And so your email becomes a veritable asset.
almost free for all for the world to send you stuff. In fact, as an agent, I know personally, I get subscribed without my consent.
to at least 20 emails a day of other real estate agents that pay organizations or groups to do mass emails for things like check out my new listing or I have a buyer need. I've never met most of these agents. They just send these drip campaigns out. They send these mass emails out and it can get super overwhelming. Now, I
I used to coach with Chad Himes, and he is actually the one that recommended to me to give up my email inbox to my admin and only allow myself to look at whatever she flags as important three times a day. And at first, I was super hesitant, I'll be honest, because it feels as though when you're in real estate or really any entrepreneurial type world where you're in sales, your inbox is your lifeline to your potential customer, right?
But the truth is you can get so bogged down in your inbox that then you can't get out and into their real day-to-day task that will actually move the ship forward.
So here's kind of what it looks like in my world now. My fantastic admin, Katie, if you've been in the Real Boss Women community for a hot second, you've all met Katie. She's super active and she's super wonderful. And I have tasked her with a job every single morning of getting the heck into my inbox and clearing out some of the spam, the random stuff that I have been subscribed to, the crap I don't need. Just go ahead and start deleting.
flag anything that she cannot answer on her own, i.e. she has no idea how it landed there, but she read through it and it kind of does look important. And quite frankly, to respond to anything that she can. So if you get an email back from me, it is highly likely that it was either myself or Katie that responded because Katie and I have worked together for so long now. And this is also a critical piece of having your admin answer your emails. She knows the tone that I take. My
my typical jargon, what an email from me might look like.
And here's what I mean by that. If you are someone who likes to write long, drawn out paragraphs in your emails because you're super descriptive, then if you have an admin who answers for you, that admin needs to do the same. If you're like me and most of your stuff is bullet pointed, short, sweet, to the point, then your admin needs to answer in your same language style so that your recipient really doesn't know the difference between
who they're getting the email from because it seems like it's coming from you. Now, obviously, yes, there are some stuff that only I can answer. Maybe it's a super important contract question and Katie hasn't even seen the contract yet. Maybe it's from a client asking a question and Katie doesn't know anything about this client yet. And so she does not know how to respond. Or
Or maybe it's something that I've inquired into on behalf of the Real Boss Women Network for an event that's coming up. And if Katie doesn't have the answer, she doesn't respond. She flags that for me to respond at nine o'clock, again at one o'clock, and then at the end of my day.
And the longer we have been doing this system, the happier I've actually gotten as the owner of the business because I'm not stuck in emails all day long. I don't tend to lose things in the fray. The biggest thing that she slaps my wrist on is quit looking at your email at random times when you're on your phone because then she doesn't know if she's already read it or not. So you have to do be very consistent in...
Making sure that you have a rhythm of not picking it up on your phone or only answering on your desktop or whatnot so that your admin who's looking at your inbox can police it for you. Now, of course, all my personal emails go to a completely separate account. I don't give Katie access to an email where critical, time-sensitive, help-sensitive financial stuff might come through. But my work email, she has full access to. It took me about...
I would say 3 months to get used to not really knowing what emails have come in and come out. And once I really realized that at the end of the day, my business moved forward in a much smoother way because I wasn't spending all day on my email, then I quickly realized how much more I can get done, how much more effective of a leader I can be in the Roblox world, the community, how...
how much more I can invest into what needed my attention on because I wasn't getting distracted by what didn't need my attention. And that is why Chad, my coach, told me to get rid of my inbox.
And that is why I will recommend to this day. Yes, it's what I do. Yes, I followed his advice. And now I will give that advice to all of you listening out there. It is scary. That's okay. Do it scared. Give up your inbox to your admin.
